How to reconcile PayPal in QuickBooks Online
Treat PayPal as a bank account in QuickBooks Online: connect it, record sales as income and fees as expenses, match transfers to your real bank account, and reconcile it monthly against the PayPal statement exactly as you would a bank account. The steps are ordinary; the work is in the volume of raw lines the connection imports.
Monthly reconciliation, step by step
- Connect PayPal in the Banking (Transactions) section so it appears as its own account with a feed.
- Categorise the month's lines: sales as income (gross where you can, see the fees guide), PayPal fees to a processing fees expense account, and refunds against the original income account.
- Match payouts to your bank as transfers, never as new deposits. The payouts guide covers why.
- Download the monthly statement from PayPal (Activity, then Statements).
- In QuickBooks, go to Reconcile, choose the PayPal account, and enter the statement's closing balance and end date.
- Work the list until the difference is zero. Anything unmatched is usually a fee you have not split out or a payout that was added instead of matched.
The gotchas
The official connection imports raw lines, so expect to categorise fees and match transfers by hand each month. Currency conversions arrive as extra lines that must net off. Pending and on-hold amounts sit in your PayPal balance but not in the feed, which shifts the closing balance. None of this is hard once; all of it is tedious every month.
